The Applied Materials Global Workplace & Infrastructure team is seeking an experienced **Administrative and Executive Briefing Center Events Coordinator** to support high value executive meetings to customers in our Center in Santa Clara, CA. As an **Administrative and Executive Briefing Center Events Coordinator** , you will be responsible for the execution and general administrative support of the Conference Center space. This includes managing planning timelines, stakeholder expectations & communications, executive engagement, and the successful execution of these engagements. In this role you will work with internal sales stakeholders to provide strategic consultation on the design of engagements. The ideal candidate is a self-starter with the ability to build partnerships. They will have excellent project management and analytical skills and be able to manage multiple projects simultaneously. The candidate must be able to communicate effectively with executive stakeholders and deliver independently on both strategic and tactical program initiatives. The candidate should be organized, comfortable establishing processes and guidelines, collaborative, and able to make complex data-driven decisions. This role reports to the Senior Manager, Workplace Services and is on site in Santa Clara, CA. **Key Responsibilities** + Provide end-to-end management of meetings and on-going communications with sales teams, Executives, speakers, and customers, to ensure a successful planning process + Develop standard operating procedures for activities in the conference center. + Utilize exceptional communication skills to set appropriate expectations with internal and external stakeholders throughout the planning process. + Patron oversight: monitor all guests and staff in the lobby space, ensuring badge swipe or escorts in place + Manage building inbox, responding to queries related to amenities, arrival information, scheduled meetings and planned maintenance, escalating as needed. + Welcome and check in event guests, provide badges and support the on-site logistics during their visit. + Manage pre-meeting arrangements which includes printing agenda, badges, notebook/pen, etc. + Manage luggage service program + Maintain inventory and preparation of service and Conference Center related materials. + Work with AV and Facilities to ensure the space meets expectations about appearance, cleanliness, functionality and overall quality experience. + Manage all catering procurement details with catering manager. + Act as an Applied brand ambassador, with a service mindset and hospitality approach **The Ideal Candidate will have the Following:** + A penchant for customer and executive experience, an eye for detail, tolerance for change, and is keen to make a mark in a high-growth organization. + 2-5 years of experience working in an Executive Briefing Center or equivalent experience in customer-facing role at a high growth company within Customer Success, Event Planning, Hospitality. + Exceptional written, verbal, and interpersonal communication skills, including the ability to engage with C-level executives. + Fully skilled with Microsoft suite like Outlook, Word, Excel and PowerPoint. **To Succeed in this Role Requires:** + Excellent organization, planning, and time management skills. + Ability to prioritize and manage multiple tasks simultaneously. + Ability to work independently with minimal supervision. + Detail oriented, creative problem-solver. + Desire and aptitude for learning new concepts quickly. **Qualifications** **Education:** High School Diploma/GED (Required) **Skills:** Event Management, Microsoft Excel, Microsoft Outlook, Microsoft PowerPoint, Microsoft Word, Scheduling Events **Certifications:** **Languages:** **Years of Experience:** 7 - 10 Years **Work Experience:** **Additional Information** **Time Type:** Full time **Employee Type:** Assignee / Regular **Travel:** No **Relocation Eligible:** No **U.S. Salary Range:** $46.50 - $63.80 The salary offered to a selected candidate will be based on multiple factors including location, hire grade, job-related knowledge, skills, experience, and with consideration of internal equity of our current team members. In addition to a comprehensive benefits package, candidates may be eligible for other forms of compensation such as participation in a bonus and a stock award program, as applicable. For all sales roles, the posted salary range is the Target Total Cash (TTC) range for the role, which is the sum of base salary and target bonus amount at 100% goal achievement.
