Administrative Assistant, Brooks Foundation, Full-time

Under the supervision of the Executive Director of the Brooks Foundation, the Development Assistant is responsible for the day-to-day workflow and processes of the Brooks Foundation team.  This position will oversee calendars, schedule meetings, assist with gift processing, database entry, assist events and Foundation Board meetings. 

Responsibilities: 

Schedule donor meetings, foundation board meetings, committee meetings, team meetings, internal meetings and manage calendars. Will monitor Brooks Foundation calendar account. Assist with Brooks Foundation events including donor receptions, check presentations and off-site events such as donor lunches or dinners, the Soiree and the golf tournament. Will assist with the set-up for the Brooks Foundation presentation during the Brooks Orientation twice a month.  Greet visitors to the Brooks Foundation offices, answer the Brooks Foundation main phone line, monitor the general Brooks Foundation email account and collect, disseminate the mail each day.  Assist with gift processing, receipting and database entries for donors. Take minutes for all Brooks Foundation Board and Committee meetings. Train new employees on Brooks systems and set-up needs.  Assist donors with gift information for gift completion Assist with the Brooks WHEEL Club disbursements and programs. Complete and submit receipts and reimbursements as needed. Drafts and completes forms, letters, memos, etc., as needed. Order supplies, food and other items needed for meetings and events. Maintains office equipment and office supply inventory. Provide support as needed to the Brooks Foundation team. Maintains confidentiality of patient information Adheres to policies regarding attendance, conduct, grooming, and dress code Exhibits excellent service to patients, visitors, physicians, and co-workers Must communicate clearly both orally and in writing.  Other duties as needed and required for job Ensures office is kept clean and organized. Compose and revise Word, Excel and Power Point documents Coordinate and maintain travel arrangements as needed Follows the Brooks mission, vision, and values at all times Other duties as required.

Qualifications: 

High school graduate, with some college preferred.      Demonstrated experience in a professional office environment.  Proficient at desktop computing including Microsoft Word, PowerPoint, Excel, Adobe and Teams. Experience with RENXT or CRM database preferred. Demonstrates excellent verbal and written communication. Must have high level of interpersonal skills with demonstrated decision making and problem solving skills. Maintain a professional appearance at all times. Must be highly motivated, personable, articulate, and diplomatic. Meets deadlines as established and promptly reports issues that arise. Demonstrates good time management; works on on-going projects without prompting. Coordinates work to achieve maximum productivity and efficiency. Demonstrates ability to organize the workday as well as recognize and adjusting priorities.

Compensation: Experience and education may be considered along with internal equity when job offers are extended.

Location: Brooks Rehabilitation Hospital, 3599 University Blvd South, Jacksonville, FL 32216 

Hours: Onsite, Monday – Friday, 8am – 5pm
