Highlights of the job We are hiring a full-time permanent Administrative Assistant, Customer Connections position working out of Edmonton, AB. The Administrative Assistant, Customer Connections is accountable for support of the Customer Connections team in the timely and accurate execution of projects within the Customer Connections scope (Customer Relations, Customer Engineering Services & Land Servicing). This includes assisting with on-boarding and management of contractors who provide support functions to Customer Connections and associated Purchase Orders/invoices, printing/assembling/managing Work Order packages, ensuring co-ordination between disciplines at conclusion of capital projects to ensure Provincial Ministerial Consents are received in a timely manner and providing support for other administrative/clerical duties that support broader Customer Connections team. The Administrative Assistant, Customer Connections is accountable to the Manager, Customer Relations and operates within the context and prescribed limits established by Manager, Customer Relations. What You’d be Responsible For Generating PO Request for contracted work. Prep invoices for manager sign-offRecord contractor cost & time tracking to validate consistency from project-to-project using spreadsheet applications: supports engineer/project manager estimating for future projectsManaging CR, CES & LS WO Performance Reporting including Variance Reporting: exporting reports from IVARA monthlySubmit and track progress of Alberta 1-Call Management for “small jobs” (submitting, tracking, printing)WO package management including printing, assembling & tracking as-builtsAssist with obtaining Ministerial Consents for capital projects through Provincial governing bodyReceiving and process payments from customers for CES and LS capital project work (deposits, payments, etc.)Co-ordinating the delivery of Construction Completion Certificate and Final Acceptance Certificate to developers for Land Servicing rebate trackingActing as a single-point of contact for EPCOR Finance to receive additional requested information regarding eligibility for prepayment on capital project WOs: liaise between Finance and Project Managers Proofreading and editing PM communications to ensure formatting consistency and enhance clarity by customers/stakeholders.Demonstrating a high performance, high discipline, safe, accountable, focused, innovative and achievement-oriented, easy to do business with manner of working. What’s Required to Be Successful Grade 12 High School Diploma or GED is required.Post-secondary education in Office Administration preferred.Completion of business courses related to Microsoft Office and data capture processing required.3+ years of experience in a multifaceted administrative role, ideally in a construction, transportation or utility environment (with field operations).Strong computer expertise with proficiency with Microsoft Office applications, including Word, Excel, and PowerPoint, and Microsoft Sharepoint.Proficient at utilizing internet searches. Effective written communication skills, including drafting, editing and proof-reading.Proficiency with office equipment including modern photocopiers, printers, scanners, laminating machines, shredders and label makers.Experience taking and preparing clear succinct meeting minutes (group environment and audio recording).Excellent verbal communication skills; clear succinct communication style.Flexible and able to manage multiple conflicting priorities in a fast paced, changing environment.Superior time management skills requiredMust be able to manage multiple priorities and ensure that deadlines are metExperience with project management/tracking systems, data entry and ability to co-ordinate WO package in support of Customer ConnectionsFamiliarity with Alberta 1-Call system would be an assetKnowledge of Bentley IVARA and Electric Office would be asset.Knowledge of Aerial and Underground Distribution system construction methods, procedures, work practices and techniques would be an asset.
