Administrative Assistant, Office of the Dean of Students – Division of Student Affairs

The Office of the Dean of Students within the Division of Student Affairs at Carnegie Mellon University is excited to invite a dedicated Administrative Assistant to our dynamic team. As the first point of contact for students, faculty, staff, and visitors, you will play a vital role in fostering a welcoming and supportive environment. This position is ideal for someone with a keen understanding of university practices, policies and procedures while also having the desire and passion to contribute to the student experience. 

In this multifaceted position, you will be integral to the daily operations of the Office of the Dean of Students. You will engage in a wide range of administrative tasks, including front office reception, calendar management, and coordination of meetings, workshops, and special events. Your organizational skills will shine as you maintain electronic records, manage travel arrangements and prepare expense reports, and provide administrative support for various student services such as Student Emergency Support Funding and Legal Consultation programs. 

 

Core responsibilities include:

Front Office Reception: Be the welcoming face of our office by answering and directing phone calls, greeting walk-in guests, managing general inquiries via email, and distributing mail. Ability to handle sensitive and confidential information. 

Administrative Support: Assist professional staff with scheduling meetings, coordinating logistics for events, and managing technology needs.

Student Emergency Support Funding: Complete daily tasks related to funding inquiries, appointment scheduling, request tracking, and completing any necessary forms.

Supervision and Training: Hire and train student staff, create schedules, and foster a positive work environment through the GROW (Guided Reflection on Work) program.

Office Management: Ensure common areas are organized and inviting while maintaining supplies and inventory.

Financial Assistance: Generate expense reports and manage travel requests.

Communications: Contribute to the maintenance of websites, create monthly birthday cards, and organize content for professional development sessions.

Campus Engagement: Participate in training, workshops, and committees to support your personal and professional growth.

Student Transaction Initiator: Hire student workers on behalf of the division by using the Workday system.

You should demonstrate:

Proven organizational, problem solving and reasoning skills, and excellent oral, written, and interpersonal and intercultural communication skills

Qualifications:

High School Diploma or GED required; bachelor’s degree preferred

5-8 years of related experience, preferably in a higher education or high-volume setting required

A combination of education and relevant experience from which comparable knowledge is demonstrated may be considered.
