The Administrative Assistant is responsible for providing administrative support to Student Affairs.

Responsibilities

Provide support to the Assistant Dean of Student Affairs and Student Affairs team members including, but not limited to, the following:

Responsible for typing memos, letters, and general correspondenceResponsible for entering and updating information into the system and creates reportsCreates files and follows up with any missing documentsResponsible for maintaining forms required by New York StateResponsible for responding to phone calls from prospective students and answering questions; forward certain calls to appropriate advisor, mail requested documentsMeets and greets all visitorsProcesses on-line documentsInteracts with different departmentsInteracts with upper level personnelMaintains master listMaintains Student Affairs student filesProcesses student requests including, but not limited to, excused absence and conference requestsManages calendar and sets up appointments; creates weekly events activityUpdates student communication boardResponsible for general administrative supportPosts and types flyer announcementsActs as an advisorParticipates and attends meetingsLiaison between Dean and studentsPrepares requisitions for department and follows up on difficultiesResponsible for ordering supplies; keeps track of all orders by the departmentResponsible for student ID badges (issuing at first of semester and preparing "lost" badges.)Maintain relationships with vendors (White Coat, etc.) and contractsEvent management supportFinancial/purchasing responsibilities for department - travel reimbursements, ordering, check approvals, etc.Assist with maintaining student filesOther duties as assigned. Education and Experience

Bachelor’s Degree or equivalent experience

Knowledge/ Skills/ Abilities
