Description of Duties:
The Administrative Assistant 1 ensures the efficiency of the Office of Research by performing a wide range of administrative tasks related to correspondence, files, and calendar management. This position fields questions from faculty within the various research Centers across the SUNY Poly campus. Administrative Assistant 1 is responsible for gathering information, compiling reports, and issuing correspondence pertaining to the Office of Research and the research Centers.
+ Assisting research Center faculty in daily activities associated with their Center. Complete forms in accordance with campus procedures; Copy, file, and distribute documents to staff; Compose, type, and distribute meeting notes, correspondence, and reports.
+ Provide support for scheduling seminars, workshops and other events. Consult with campus events team members and the marketing group to ensure suitable space is available and reserved and that the event is publicized appropriately. Work with invited speakers and make travel arrangements to ensure their participation.
+ Provide support for the Office of Research and research Center faculty including reviewing and submitting travel forms, filling out purchase requisitions and working on projects as assigned by the Vice President for Research. Answer telephones, provide information to callers, take messages, and transfer calls; Greet visitors and callers, handle inquiries, and direct visitors or callers to appropriate individuals. Distribute incoming mail or other materials; answer routine letters; and prepare and mail items.
+ Interact with visitors and provide a welcoming presence in the office. Assist members of the team with projects and daily support on an as needed basis.
+ Other reasonable duties as assigned.
Salary: Administrative Assistant 1 (Trainee) - $39,215 / Administrative Assistant 1 - $46,306

Minimum Requirements:
Promotion: one year of service in a clerical title allocated to Grade 6 and above; and completion of a two-year traineeship.
Non-competitive: high school diploma or high school equivalency diploma; and two years of experience in administrative support, which includes use of office software (e.g., email, word processing), provision of customer service, business writing, and management of an office.
