Administrative Assistant 2 + Job Number: 24811 + Functional Area: Administration + Department: Mathematics + School Area: Science + Employment Type: Full-time (Hybrid) + Employment Category: Non-Exempt + Visa Sponsorship Available: No + Schedule: 9-5, or flexible as needed Email a Friend Save Save Apply Now Posting Description ADMINISTRATIVE ASSISTANT 2, Mathematics, to provide complex administrative and financial support for Math Headquarters staff, several faculty members, and their groups; perform all administrative duties (including scheduling and ordering food) for departmental talks, seminars, conferences, and special events; arrange travel and itineraries for faculty, staff, graduate students, and visitors; process all purchases, place and track orders, receive shipments; review, reconcile, and monitor monthly account statements (FRC); handle financial reimbursements and purchases for faculty, staff, graduate students, and visitors; keep complex calendars; edit reports and prepare correspondence and documents; maintain reports and electronic filing systems that are confidential, and/or complex; serve as a proxy for faculty members submitting letters of recommendation; assist with administration of classes as necessary; deliver mail; create, edit, and finalize PowerPoint presentations or posters; update websites; troubleshoot problems; assist with department events or HQ administration if needed; provide coverage for others; and handle other administrative duties as assigned. Find the full job description here: https://math.mit.edu/about/employment.html Job Requirements REQUIRED: High school diploma or its equivalent; a minimum of three years of administrative, office, or related experience; meticulous attention to detail; excellent interpersonal and written and verbal communication skills; willingness to work on special projects as needed; discretion with sensitive and confidential information; advanced-level proficiency with Mac OS, Microsoft Office, web and graphic design software, email, internet; experience working in an academic environment with multiple supervisors; proactive problem-solver who can anticipate needs, manage competing priorities, track work in progress, and meet deadlines despite frequent interruptions; process complex financial transactions; compose professional memos/correspondence; and work independently with minimal supervision and as part of a team. PREFERRED: Bachelor’s degree; and working knowledge of LaTex and PowerPoint.
