**Title: Administrative Assistant 3**
**Location: Fully Remote but needs to work in Eastern Time Zone**
**Duration: 3 months (High Possibility for an extension based on budget)**
**Schedule: 40 hours a week, Mon - Fri, 40hr/week.**
**Rate: $25 to $30/ hr on W2**
**Top 3 Hard Skills Required + Years of Experience**
1. Minimum 5 years’ experience with ability to work well under pressure, managing tasks effectively within short time constraints.
2. Minimum 5 years’ experience with attention to detail, ensuring accuracy and thoroughness in all tasks.
3. Minimum 5 years’ experience with proficiency in MSFT productivity software, such as Excel, Word, Outlook and SharePoint.
**Responsibilities**
+ Calendar management with strong attention to accuracy, timeliness, conflict resolution, and alignment to the Senior Director’s priorities and commitments
+ Planning & coordinating end-to-end domestic and international travel plans including proactive anticipation of all logistics through expense reconciliation and submission
+ Scheduling and assisting with leadership rhythm of the business (ROB) in partnership with the Business Manager including staff meetings, events and offsites, meeting logistics, and material preparation
+ Strong collaboration and partnership skills with key stakeholders including, but not limited to HR, Finance and leadership team members
+ Providing team support for hiring and onboarding, generating purchase orders and special projects as requested
+ Alias management; processing and approving expense reports
+ Build and maintain good business relationships with counterpart administrative staff
+ Work as part of a strong admin team to manage the needs of the overall organization
**Qualifications**
**Required:**
+ 5+ years of work experience as an administrative assistant/coordinator.
+ Proven, outstanding written and oral communication skills.
+ Excellent organizational and interpersonal skills are required.
+ Able to work well under pressure and within short time constraints.
+ Ability to prioritize work and complete projects on time, demonstrate drive and initiative, maintain confidentiality of information.
+ Ability to pay close attention to detail and able to monitor plans and schedules and react with appropriate urgency to situations and events that require quick response or turn around.
+ Proficiency with Microsoft productivity software including Outlook, Word, and Excel.
+ Preferable knowledge in internal applications including Employee Central, HR Insights Catalog, iCIMS, HeadTrax, MyOrder, IDWeb, and Concur expense and travel tool.
