Northrop Grumman Mission Systems (NGMS) is seeking an **Administrative Assistant 4** located in **Buffalo, NY** that will report to the Director of Manufacturing Operations.
**What You’ll Get to Do:**
+ Provide general administrative support for Operations team, including Manufacturing, Quality and Mission Assurance (QMA), Global Supply Chain (GSC), EHSFP (Environmental Health, Safety and Fire Protection) and Facilities groups.
+ Arrange, maintain, and modify Director’s schedule, including setting up meetings on behalf of Director.
+ Book travel arrangements and prepare expense reports for Operations personnel.
+ Coordinate logistics for onsite and offsite business visits and events. This includes booking conference rooms, coordinating room setup, arranging visitor badging, ordering and setting up food for attendees and post visit clean-up.
+ Plan and execute logistics for employee engagement events such as Manufacturing Week, Quality Week, All Hands, etc. This includes planning activities, purchasing supplies, booking conference rooms, coordinating room setup, ordering and setting up food for attendees and post event clean-up.
+ Manage training records for Operations personnel and help coordinate in-person trainings as needed.
+ Order supplies to support Operations team including office supplies, IT equipment, safety supplies, etc.
+ Assist with onboarding of new hires.
+ Manage administrative records including organizational charts, distribution lists, building evacuation rosters, etc.
+ Manage intranet webpages for Operations teams.
+ Assist in compiling weekly/monthly leadership status reports.
+ Ensure start-up of virtual meetings via Zoom or Microsoft Teams.
+ Perform other administrative tasks as requested by members of Operations management team.
+ Maintain effective and efficient organization of administrative requirements.
+ Maintain professional demeanor and act with integrity when working with all levels of the organization.
+ Utilize Microsoft Office Suite for communications, reporting, presentations and other various tasks (i.e. coordination of calendars and meetings, assembly of presentations, documentation of processes, etc.).
+ Display strong interpersonal, organizational, and problem-solving skills.
+ Work independently with minimal supervision, be an exceptional team player and interface well at all levels in the organization.
+ Be collaborative, proactive, self-motivated, well-organized, detail oriented, and assertive as necessary and able to execute projects and tasks.
This role will provide administrative support to multiple individuals and groups in a fast-paced environment. This is a full time, on-site position. The successful candidate will work well in a highly dynamic environment, be an independent thinker, customer oriented, proactive, and have a track record of managing a high daily workload supporting multiple managers, employees, and priorities as required.
The ideal candidate must be a team player, possess excellent interpersonal skills, exercise discretion, respect confidentiality concerning employee information and company records, pay attention to detail, and have exceptional time management skills.
**Basic Qualifications:**
+ High School Diploma or equivalent with 6 years of relevant experience.
+ Experience with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
+ Experience participating and hosting in-person and/or remote video teleconference meetings (such as Microsoft Teams or Zoom).
**Preferred Qualifications:**
+ Experience exercising good judgment while demonstrating flexibility and agility, prioritizing multiple tasks with competing deadlines, managing schedule conflicts, and providing excellent follow-through.
+ Experience planning and executing business and employee engagement events.
+ Experience with business and travel expense system (Concur or similar) with complex frequently changing travel.
**Salary Range:** $58,700 - $97,900
The above salary range represents a general guideline; however, Northrop Grumman considers a number of factors when determining base salary offers such as the scope and responsibilities of the position and the candidate's experience, education, skills and current market conditions.
Depending on the position, employees may be eligible for overtime, shift differential, and a discretionary bonus in addition to base pay. Annual bonuses are designed to reward individual contributions as well as allow employees to share in company results. Employees in Vice President or Director positions may be eligible for Long Term Incentives. In addition, Northrop Grumman provides a variety of benefits including health insurance coverage, life and disability insurance, savings plan, Company paid holidays and paid time off (PTO) for vacation and/or personal business.
