Administrative Assistant

ESSENTIAL FUNCTIONS:

Support managers and employees through a variety of tasks related to organization and communication. Responsible for confidential and time sensitive material. Familiar with a variety of the field's concepts, practices and procedures. Effectively communicate via phone and email ensuring that all duties are completed accurately, delivered with high quality and in a timely manner. Attend meetings and take accurate minutes. May responsible for accurate and timely physician credentialing. May manage and coordinate administrative programs and office activities. Create spreadsheets, manage databases and prepare presentations, reports and documents as needed. Answer telephones and take messages or transfer calls. May cover the reception desk when required. Calendar management, schedule appointments, update calendars and arrange staff meetings May assist in payroll May assist in purchasing Provides administrative and secretarial support to Chief Executive Officer Division President and executive management team.

A minimum of five years secretarial experience at the executive level.  Healthcare experience a plus.  Demonstrated proficiency in Word, Outlook, Excel, Access and PowerPoint.  Ability to effectively communicate orally and in writing, coordinate projects, handle multiple tasks simultaneously and accurately record meeting minutes.

Additional duties include:

Process applications for credentialing through coordination with Allied Health and Medical Staff. Present completed credentialing files to the Medical Director for review. Present completed credentialing files to the Medical Executive Committee for review/action. Complete Credentialing Summary for each appointment/reappointment for Governing Board review. Compile, prepare, track and file medical staff credentialing documents to ensure appointments and applications are processed and received in a timely manner. Maintain and apply current knowledge of applicable federal and state laws, regulations and accreditation standards. Orient applicants to Medical Staff bylaws, key policies, and medical staff structure and performance improvement process.  Liaise with external credentialing verification organization for primary source verification.
