Performs a wide range of clerical, administrative, and general office support of a highly responsible and confidential nature requiring broad experience, skill, and knowledge of the organization’s policies and practices. Exercises occasional discretion and independent judgment to relieve the executive of as many administrative details as possible. Maintains records, obtains and organizes information, takes and transcribes dictation, makes calculations, and performs a variety of follow-through functions.
Responsibilities:
Reads mail highlights important items and attaches relevant files or information for executive review. Responds to routine correspondence or drafts response for the executive’s review on more complex correspondence. Takes and transcribes dictation. Follows up on items delegated by the executive to others. Screens call for the area of responsibility and respond to routine and complex inquiries. May regularly communicate with administrative staff, senior-level internal and external contacts, vendors, and customers on highly sensitive confidential matters requiring the exercise of a high level of tact and integrity. Schedules appointments and group meetings which include coordinating facilities, services, and attendance of participants. Makes travel arrangements. Assists in expense report preparation and reconciliation as required. May conduct special and ongoing projects under the limited direction that consists of duties requiring the occasional exercise of discretion and independent judgment. Collects and compiles data from several sources within and outside the department to produce reports and documents. May audit data for accuracy and reasonableness or perform calculations to assist in financial analysis. Operates a personal computer and printer. Utilizes word processing software to produce correspondence and reports, performs sorts and merges, and prints mass mailings. Utilizes spreadsheet software to design spreadsheets, set up formulas, display graphics, and print desired sections. Utilizes database software to set up and maintain files and run reports. Maintains appropriate files of correspondence, documents, reports, and records. Provides reproduction support through the operation of photocopier or coordination of services with internal or external sources. Operates office equipment such as calculator, transcription equipment, and facsimile. Coordinates the ordering of supplies, materials, publications, services, etc., by preparing appropriate documentation, obtaining approval, and submitting. Sends invoices to accounting with proper authorization for payment. May provide functional guidance to clerical employees including assigning work, checking work, and ensuring timely completion. Performs related duties as required.Education and/or Experience:
High School Diploma or general education degree (GED); or five (5) years of clerical and administrative support experience and demonstrated skills in shorthand, typing, personal computer word processing, spreadsheet and database software; or equivalent combination of education and experience.
Computer Skills:
To perform this job successfully, an individual should be extremely knowledgeable in background screening, ADP Database software; Human Resource Information Systems; Internet software; Spreadsheet software, Word Processing software, and PowerPoint presentation software.
