Administrative Assistant

Your Opportunity

Your role will be to provide part-time qualified administrative support for the Stantec’s Baltimore (Towson) office team.  We are looking for a resourceful, organized, and committed individual who can contribute to our team’s continued growth and success.

Your Key Responsibilities Reception duties including greeting and signing in visitors, office staff communications, answering and redirecting phone calls and emails, handling incoming/outgoing parcels and mail.  Printing/copying, supply inventory and ordering, paying office administrative invoices. Assisting with document control including filing and archiving. Managing calendars, scheduling meetings/training, booking meeting rooms, ordering meals.  Coordinating travel itineraries and arrangements. Coordinating repairs and services with property management and third parties.  Responsible for general upkeep and appearance of office.  Supporting office-based project management and technical staff. Supporting field-based construction engineering and inspection staff. Performs other administrative duties as required.

Your Capabilities and Credentials

Excellent written and verbal communication skills. Excellent computer skills. Strong multi-tasking and time management skills with the ability to prioritize and organize multiple concurrent assignments. Positive, team-focused attitude.  Dedicated to client satisfaction. Ability to work effectively under pressure and meet tight deadlines when necessary. Must be willing and able to take initiative when needed. Must have valid driver’s license and good driving record. Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams, Powerpoint), and Microsoft Office 365 and Microsoft Project experience a plus.

Education and Experience

High School Diploma with minimum of 4 years’ experience; or Associate’s degree in related field with minimum of 0-2 years’ experience; or equivalent combination of education and experience.  Position will primarily work in an office setting.
