The smooth and professional running of the CISO office is vital and is achieved with forward thinking and planning, having efficient systems in place to deal with administrative tasks, and being able to work with your own initiative as well as part of a team. As part of our team, you will provide comprehensive end to end support to the CISO. You will interact with a diverse spectrum of people in a wide variety of situations. You will plan, pre-empt, and manage the requirements and commitments of the CISO, while collaborating with your colleagues across the Cyber Security Office (CSO) area and the Digital and Technology Organisation. The role will require independent judgment and discretion and will often require the incumbent to create processes, identify improvement areas and coordinate small projects. Efficient ownership of calendar management and scheduling of meetings in various geographies and time zones, prioritising CISO scheduling commitments Capability to manage meeting set-up details and technology (Teams, A/V, connectivity, projection, technical assistance) Organisation of a wide range of meetings and functions including but not limited to departmental internal and external events Liaise with internal/external contacts to ensure all details are considered and plans are executed as designed, and taking ownership to remediate issues Compile agendas, ensure meeting materials are posted, communicate actions where relevant, take minutes as requested Book domestic and international travel, adhering to policies and guidelines (secure air, rail, hotel, and cars as needed) Manage a high-volume workload proactively to a consistently high standard, by setting priorities, objectives, and target dates and triaging/processing multiple tasks as required Practice continued development by participating in educational opportunities and projects Why You? Basic Qualifications: We are looking for professionals with these required skills to achieve our goals: High school degree or GED 5+ years administrative assistant experience, in working for Senior Vice President C-suite levels and/or above in support of a large, complex, global organization across multiple time zones 5+ years computer experience, including Outlook, Word, Excel, PowerPoint, OneNote, Teams, and the capacity to learn new software in a timely manner Preferred Qualifications: If you have the following characteristics, it would be a plus: Associate degree Advanced Microsoft skills Project coordination experience, tracking dates, dependencies, and timelines Team player at the core, with the ability to collaborate with various departments globally and gain the confidence and cooperation of peers, including other administrative assistants Demonstrates flexibility and resilience to adjust to the dynamic needs of the position, managing competing priorities and using discretion to perform duties at short notice Understands the needs of all relevant internal business clients and external contacts for stakeholders and can work with them in a professional, service-oriented way Practices strategic thinking and problem solving in high pressure situations using a high degree of initiative and foresight Due to the nature of the work, acts with a high degree of accountability and integrity when dealing with confidential matters Analytical and forward planning skills Flexible working style, especially with various time zones Excellent organisation and communication skills Organisational and cultural awareness Takes ownership and accountability to deliver and supports others to succeed. Proven ability to deliver to agreed timescales Always acts with integrity and care for others #LI-GSK The annual base salary for new hires in this position ranges from $33 to $45 , taking into account a number of factors including work location, the candidate’s skills, experience, education level and the market rate for the role. In addition, this position offers an annual bonus and eligibility to participate in our share based long term incentive program which is dependent on the level of the role.
