Job Summary:

The Administrative Assistant will play a crucial role in ensuring the smooth operation of the office. This position requires a detail-oriented individual who can handle a variety of administrative tasks with efficiency and professionalism. The ideal candidate will have excellent communication skills, basic experience with QuickBooks and accounting knowledge.

Key Responsibilities:

Answering and directing phone calls in a professional and courteous manner.
Dispatching field staff and coordinating job schedules.
Managing invoicing and billing processes.
Ordering parts and supplies as needed for various projects.
Filing and maintaining organized records.
Providing exceptional customer service to clients and vendors.
Entering and updating data in QuickBooks.
Performing basic accounting duties, such as reconciling accounts and preparing financial reports.
Assisting with other administrative tasks as required.

Qualifications:

High school diploma or equivalent; additional education or certification in office administration or related field is a plus.
Proven experience as an administrative assistant or in a similar role.
Experience with QuickBooks and Microsoft Office Suite (Word, Excel, Outlook).
Basic understanding of accounting principles.
Excellent organizational and time management skills.
Strong attention to detail and problem-solving abilities.
Exceptional communication and interpersonal skills.
