Administrative Assistant

We are currently hiring for an Administrative Assistant.   This is an exciting opportunity to join a fast-paced HR Team! In this role you will provide a variety administrative support functions to the organization providing receptionist support, HR & legal administrative support and mailroom/office supply management.  In this role you will interact with all departments within the organization including senior management. 

Responsible for managing front desk activities, such as greeting visitors, answering phone calls, copying, scanning, and providing administrative support to the organization. Assist the legal and HR department, as needed, to perform clerical tasks such as filing, copying, and organizing and maintaining paper and electronic files. Assist with general data entry and record keeping. Maintain office supplies inventory and distribution of supplies. Processes business cards, gas cards and American Express cards. Codes invoices for approval and processing. Schedules and organizes meetings, conferences and department activities. Supervises and manages the organization's mailroom Receives package shipments, opens and routes incoming mail, answers correspondence, and prepares outgoing mail. Responds promptly when returning telephone calls and replying to correspondence, faxes and emails. Assist as needed with record-keeping and maintenance of all files while maintaining high standards of confidentiality. Conform with and abide by all regulations, policies, work procedures, safety rules and instructions. Perform assigned tasks in conformance with procedures and instructions established in the Business Management System (BMS) and in compliance with applicable Environmental, Health, and Safety (EHS) regulatory requirements. Performs other duties as assigned.

Qualifications

High school diploma or equivalent required.  A minimum of five years in an administrative role preferred.  Ability to read, analyze and interpret policies and procedures, great communications skills and the ability to effectively present information and respond to questions from internal/external sources. ​ This position requires the ability to work with a personal computer in a Windows environment. Use Microsoft Office Suite software (with advanced proficiency in Word, Excel & PowerPoint), HRIS software, and the Internet.
