The Administrative Assistant performs a variety of administrative tasks and provides support to their assigned teams and location with tasks that facilitate smooth business operations. They may also support the broader location population, as well as members within the Operations and Administrative teams. The successful Administrative Assistant is flexible, organized, able to manage a variety of tasks and competing priorities, demonstrates strong communication skills, and a focus on client service.

Responsibilities:

Support the management and logistics of calendars, office space reservations, and travel arrangementsDraft, format, edit and proofread business correspondence, such as draft emails, PowerPoint presentations, and general office communicationsServe as point of contact for internal clients regarding general administrative processes, including quality control items and record managementAssist with client engagement management set-up activities, such as initiating new client research/acceptance, completion of vendor/due diligence forms, client relationship management data entry, engagement code setup, and electronic file coordinationAssist with internal meeting and event coordination and set-upAssist with the production of onsite client deliverables, which may include client reports, proposals, and agreementsSupport time and expense entry for assigned teams, and assist with data entry pertaining to Continuing Professional Education (CPE) where applicableAssist with the coordination and follow up of internal and external clients including screening phone calls and facilitating client communications with the appropriate client service staffParticipate in the onboarding of new administrative employees by assisting with training and answering questionsProvide back up support to Office Services as needed including answer phonesOther duties and special projects as assigned

Qualifications:

High School Diploma/GED requiredMinimum of 1 year of related experience required; experience in a professional services environment preferredProficiency in Microsoft Office (Word, Excel, PowerPoint, and Outlook)Strong verbal and written communication skills including the ability to identify potential issues and escalate accordinglyExecutes effectively by using resources efficiently, meeting deadlines, and keeping others informed of work plans and progress towards goalsStrong attention to detail, commitment to producing accurate work in a timely mannerSelf-directed professional with strong interpersonal skillsAbility to develop relationships, build rapport, and effectively interface with all levels within the firmAbility to handle sensitive situations and confidential information with discretionMay require some overtime hoursAbility to travel as needed, approximately 5%
