Administrative Assistant

Job Summary:  This position supports the Executive Director Regional Medical Affairs, Clinical Operations, and Preclinical Toxicology teams. Key responsibilities include performing highly diverse administrative duties, which by nature of the position involve high-level contacts and exposure to sensitive information. Strong attention to detail and follow up will be required.

Essential Duties & Responsibilities:

Proactively manages calendars, schedules meetings and conferences, makes travel arrangements and prepares and executes expense reports. Provide budget support ensuring invoices are received by Accounts Payable and providing follow up support for team members on open invoices. Orders food for meetings and interviews as needed. Sets up meetings and tidy’s up conference rooms as needed after. Supports client departments by creating and typing documents and Power Point presentations using proper spelling and grammar. Independently manage administrative projects, compilation of correspondence, reports, data, and presentations. Will work closely with the administrative team, attending monthly administrative meetings, providing support to administrative colleagues throughout the Company. As part of this team, will share responsibility for placing office supply orders, maintaining kitchen areas, and keeping kitchens and office areas neat and appropriately supplied. All other duties and responsibilities as assigned.

Knowledge & Other Qualifications:

High school diploma or equivalent required. College a plus. Minimum of 3+ years’ experience in an Administration role. Self-motivated with strong organizational skills and the ability to adapt to change. Professional and courteous disposition, be a proactive team player, relationship builder, with the ability to interface in a professional manner at all levels. Ability to organize and prioritize, work independently, and meet deadlines. Strong communication skills (both verbal and written), with excellent telephone skills required. Ability to use the internet to locate pertinent information when required. Highly Proficient in MS Office, including Word, Excel, PowerPoint, and Outlook. Flexibility and adaptability to organize and manage multiple projects and assignments.

A self-starter able to work independently but comfortable working in a team environment. Capable of performing other duties as assigned by Management. Authorized to legally work in the United States without visa sponsorship.

Physical Requirements/Work Environment/Travel Requirements:

Sedentary work. Exerting up to 10 pounds of force occasionally and/or carrying objects. Sedentary work involves sitting most of the time. The worker is required to have close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer screen, iPad, or other electronic device; and extensive reading The worker is not substantially exposed to adverse environmental conditions
