About the Role Hinge Health is seeking a proactive and detail-oriented Administrative Assistant to play a key role in driving the efficiency and organization of our team. In this role, you will provide essential support to executives and teams by managing a range of tasks, including meeting coordination, travel arrangements, and expense management. As part of the People Experience team, you will collaborate closely with Executive Assistants (EAs) and Workplace Coordinators to ensure daily operations run smoothly. Your contributions will have a direct impact on enhancing the team's productivity and creating a more streamlined work environment. We are looking for a team player who is eager to learn, take initiative, and provide support wherever necessary. What You’ll Accomplish Meeting Coordination: Proactively manage meeting requests via Slack, schedule and coordinate logistics for in-person meetings, ensuring seamless execution. Effective Communication: Act as a trusted liaison between executives, internal teams, and external partners, handling all meeting logistics and communications with clarity and professionalism. Collaboration:Partner with Workplace Coordinators and EAs to ensure all event logistics, from room setup to technical requirements, are meticulously planned and executed, driving successful meetings and events. Travel & Expense Management:Assist with booking travel and accommodations for executives and manage expense reports through Navan for select VPs and Senior Directors, ensuring timely and accurate processing. Employees in hybrid roles are required to be in the office 3 days/week. Basic Qualifications 2+ years of experience as an Administrative Assistant, supporting teams or mid-level executives. Proficient in Google Workspace (Docs, Sheets, Calendar) with 2+ years of experience. 2+ years of experience managing travel arrangements, expenses, and meeting logistics. Preferred Qualifications Meticulous Attention to Detail: Ensures high-quality work with accuracy in communications, meeting logistics, and expense tracking. Exceptional Time Management: Effectively prioritizes multiple tasks, consistently meeting deadlines. Resourceful Problem-Solving: Demonstrates a proven ability to identify and implement effective solutions to logistical challenges, ensuring that day-to-day operations run smoothly by proactively addressing issues and finding creative solutions. Customer-Focused Mindset: Has a track record of providing exceptional support to both internal teams and external partners, consistently offering professional and reliable assistance by building strong relationships and exceeding expectations in customer service. Adaptability and Flexibility: Demonstrates a willingness to learn new tasks and adapt to evolving situations. Is comfortable adjusting to changing priorities and environments, maintaining a high level of performance and stepping in to assist colleagues as needed. Strong Organizational Skills: Possesses excellent organizational skills, with the ability to prioritize and manage multiple tasks efficiently. Excellent Communication Skills: Demonstrates strong verbal and written communication skills, effectively conveying information and ideas to colleagues, executives, and external partners. This includes clear and concise communication, active listening, and the ability to build relationships through effective communication. Compensation This position will have an hourly pay rate, plus equity, and benefits. Please note that the hourly range is a guideline, and individual total compensation will vary based on factors such as qualifications, skill level, competencies and work location.
