Administrative Assistant
Job Description: We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. The ideal candidate will be responsible for a variety of administrative and clerical tasks to ensure the efficient operation of our office. Key Responsibilities: + Answering phones and directing calls to the appropriate personnel + Entering invoices into the system + Ordering and maintaining office supplies + Maintaining job folders and ensuring they are up-to-date + Creating new hire packets and handbooks + Collecting timecards and entering them into QuickBooks + Paying certain invoices using a credit card + Maintaining vehicle and equipment folders + Utilizing Microsoft Word, Excel, Outlook, QuickBooks, and Bluebeam for various tasks Additional Responsibilities: + Assisting the payroll department by balancing weekly timecards using math and time management skills + Performing administrative duties such as filing, typing, copying, scanning, shredding, laminating, and supporting management + Inputting vendor invoices into the system using QuickBooks; basic accounting knowledge is a plus + Providing excellent customer service by answering, screening, and directing phone calls, interacting with visitors, and responding to emails in a professional and timely manner Skills and Qualifications: + 5-10+ years of administrative experience + Strong organizational and time management skills + Excellent written and verbal communication abilities + Familiarity with office environments and proficiency in Microsoft Word, Excel, and QuickBooks + Attention to detail and accuracy in completing tasks + Ability to prioritize tasks and multitask effectively + Capable of handling front desk duties with minimal supervision + Previous experience as an administrative assistant or in a similar role is required + Quick learner with the ability to take good notes and double-check work + Positive and friendly attitude, caring about the job beyond just a paycheck + Dependable and reliable, with the ability to be punctual, stay late when necessary, and work independently as well as part of a team About Aston Carter: Aston Carter provides world-class corporate talent solutions to thousands of clients across the globe.
