Administrative Assistant
**Overview** **Pay:** $30.00/hour **Shift:** Monday-Friday, subject to change to availability needs The pay listed is the salary range for this position. For information about ABM’s benefits, visit ABM 2024 Employee Benefits | Staff & Management (https://www.abm.com/wp-content/uploads/2023/11/2024-Recruitment-Staff-Mgmt-11.6.23.pdf) Role and Responsibilities + Understand the Work Order and Preventative Maintenance Platform to assist with internal training and set up + Complete new hire/termination engineering tasks and property acquisition/disposition tasks + Review and prepare regional compliance reports + Communicate with vendors and create amendments and exhibits for master contracts + Maintain and track data lists for leased vehicles, contacts and safety inspections + Audit accounts and review set up for purchasing platforms + Assist with planning and preparation for the Annual Engineering Retreat + Document and implement ongoing process improvements for regional engineering teams + Process monthly and ad-hoc invoices + Support VP, Construction & Engineering and Director of Engineering with general administrative requests and special projects + Generating reports from platforms and organizing utility bills + Maintaining data and updating records for smart building program + Corresponding with vendors related to battery storage, lighting, utility data and direct access + Additional project support related to Due Diligence and Construction/Development Integration Take initiative to identify process enhancements and efficiencies. Represent the company in a professional and courteous manner at all times. Provide excellent customer service to our internal departments and external customers/business partners. Qualifications/Skills: + High school diploma required; Four-year degree preferred + Experience in corporate, professional setting preferred and real estate experience a plus + Proficient with Microsoft Office platform, including Outlook, Word, Excel and PowerPoint + Candidate must possess a positive attitude and be resourceful, adaptable, customer service oriented, responsive with a great need for closure, eager to learn, willing to share ideas, and a team player + Candidate must have excellent organizational skills, problem-solving and analytical skills, strong attention to detail, accuracy and timeliness + Candidate must have the ability to multi-task, take initiative, communicate effectively in written and verbal form, work well under pressure and balance multiple priorities and assignments to meet deadlines + Candidate must be comfortable engaging with other team members and working in a fast-paced environment where continuous improvement is expected REQNUMBER: 98681 All qualified applicants will receive consideration for employment without regard to race, color, religion, sex, sexual orientation, gender identity, national origin, disability, or status as a protected veteran.
