Administrative Assistant
We have an exciting opportunity for a full time onsite Administrative Assistant in our Albuquerque office. We are seeking a friendly, highly motivated, organized and experienced person to join our administrative support team. The qualified applicant will have solid experience as an administrative assistant with a desire to work in a team environment. In this position, the ideal candidate will have three to five years of experience in an engineering, architectural or technical field environment who is proficient in MS Outlook, Word and Excel. Telephone console experience is also desired. Responsibilities and Duties + Regularly assist in formatting, proofreading and preparing reports, specifications and other documents as directed by staff as needed. + Receive and route incoming guests and telephone calls. + Organize meetings and events for the company as directed by department leaders, manage meeting minutes and track follow-up items. + Log, assign and track data in a project information management system. + Coordinate and manage calendars for multiple project teams. + Provide administrative support as needed and coordinate with other departments as necessary. + Other basic administrative tasks as needed, and as required. We expect our Administrative Assistant to have the following qualifications: + 3-5 years of experience in a Administrative Assistant, or Project Coordinator position + Proficiency with Microsoft Office applications (may be tested during the interview process) + Ability to coordinate and maintain project files and correspondence + Ability to work in a fast-paced environment with competing priorities + Excellent interpersonal skills + Must be able to successfully pass a background check. + Edit work for accuracy and clarity with the ability to read and interpret complex written information. + Have hands-on experience with project information management platforms such as Newforma, Proforma, e-Builder, or Deltek. + Willing to support emergent needs, occasionally working outside of standard work hours. + Able to demonstrate an understanding of quality assurance regulations, standards and guidelines.
