Administrative Assistant

As an Administrative Assistant, your responsibilities will include expertly managing the calendars of the Vice President of Flight Operations, Director of Flight Operations, and department operations. Additionally, you will oversee the intricate task of tracking and scheduling training for our flight crew, coordinating with instructors and courses as necessary. Your organizational skills will be put to use in managing flight crew documentation (including FAA required flight documentation for pilots and aircrafts) and account/database updates for various equipment and subscriptions. Collaborating with Payroll, you will be responsible for the accurate monthly processing of Flight Pay. In this role, you will provide support for roles such as Reception, Travel Coordinator, and Company Store Representative, as needed. General office support, including handling administrative tasks, coordinating meetings, facilitating maintenance and IT requests, and proofreading and formatting documents, will round out your diverse and essential contributions to the smooth operation of the Flight Operations Department.

Summary:

Duties/Responsibilities:

Calendar management for the Vice President of Flight Operations, Director of Flight Operations, and department operations.Tracking training and currency for all flight crew, including scheduling instructors and courses as required for the Flight Operations Department.Tracking and organizing required flight crew documentation for the Flight Operations Department.Coordinating with HR/Payroll to manage monthly Flight Pay and quarterly employee aviation benefit reimbursement.Managing accounts for various equipment, licenses, databased, and other miscellaneous subscriptions.Back support for various roles (i.e. Travel Coordinator, Company Store Representative, etc.)General office support, including, but not limited to making copies, sending faxes, scanning, coordinating internal and external meetings, facilitating maintenance and IT requests, proofreading and formatting documents, preparing slides for presentations, etc.

Strong verbal and written communication skills. Strong interpersonal and ability to work well with a wide variety of personalities across all departments.Ability to work autonomously, as well as in a team environment.Strong organizational skills and attention to detail.Strong time management skills with a proven ability to meet deadlines.Good analytical and problem-solving skills.Ability to function well in a high-paced and at times stressful environment.Proficient with Microsoft Office Suite or related software.Familiarity with Microsoft Teams and computer troubleshooting.

Education and Experience:

High school diploma or equivalent.Experience working in a matrix reporting environment with a fast-paced workflow.General exposure to aviation field is preferred.
