Job Title: Administrative Assistant

Location: New York, NY

Pay rate: $23/hr

Duration: 3 months

Our Client:

Our client is the New York State Office of General Services (OGS) and they are seeking an Administrative Assistant for one of their teams. This is a temporary position (W2 Only) in New York, NY. This is an excellent opportunity for the right individual. The contract is expected to last 3 months with a pay rate of $23/hr. This is an in-office role, so you must be commutable to New York. Veterans are strongly encouraged to apply.

Key Responsibilities:

Check filings for deficiencies and calculate filing fees as needed.Scan paper submissions and issue ID numbers to filings.Update databases and save files to a shared drive following established file-naming conventions.Download files from the cloud or copy from emails in Microsoft Outlook as required.Rename PDF files per file-naming conventions and enter filings into spreadsheets for easy retrieval.Create and organize folders, save files, and add notes to databases and spreadsheets as necessary.Use email templates to communicate with attorneys regarding deficient filings and follow up as required.

Key Skills & Abilities:

Excellent time management skills.Strong attention to detail with the ability to identify and correct errors, inconsistencies, and incomplete work.Ability to manage large volumes of electronic files without commingling.Proficiency in proofreading, template email editing, and file management (drag/drop, copy/paste, folder creation).Ability to follow office policies and procedures.Must be proficient in Microsoft Word, Adobe PDF, Microsoft Excel, and Microsoft Outlook.Ability to ask questions for clarification when needed and double-check work for accuracy.

Qualifications:

· Bachelor's degree in a related field

· Proficiency in Microsoft Word and Excel

· Strong time management skills

· Ability to edit documents with attention to detail

· Previous experience in administrative roles

· Familiarity with Microsoft Office suite

· Excellent organizational and multitasking abilities
