JOB RESPONSIBILITIES

Provides administrative support to an upper management level position taking full ownership of all administrative tasks (e.g. travel scheduling, on time schedule, meetings, calls, correspondence, etc.).Performs a wide variety of administrative tasks as directed by immediate supervisor Maintains appointment schedules and calendar. Receives and distributes incoming mail; reviews and evaluates mail to identify those items requiring priority attention.Provides administrative support to the teams as needed.Regularly composes memos, reports and other correspondence from a brief outline, draft or from verbal instructions. Produce and distribute accurate agendas, meeting minutes and project reports. Determines the most appropriate format and the best method of presentation.Prepares PowerPoint presentations.Covers phone; handles caller’s requests and routes calls to appropriate party; has good knowledge of supervisors/department/company’s business, consequently, is able to handle incoming calls in absence of supervisor.Maintains up-to-date files, monitors and controls the filing systems to ensure accuracy and efficient retrieval of data. Revises files categories as necessary or may develop a filing system to meet needs of the department.Regularly makes meeting and/or travel arrangements based on “sketchy” instructions. Periodically makes independent decisions about details such as best travel schedules, mode of transportation, accommodations, audio visual aids, refreshments, etc. Assist in the preparation of agenda and other meeting documentation.Prepares all paperwork related to visas regarding company travel.Schedules and organizes complex activities such as meetings, travel and conferences.Greets visitors and properly introduces to management.Provides assistance and ensures compliance with policy provisions and standards.Assists team members with copying, faxes, and any other miscellaneous correspondence.Assists and supports executives on personal matters.
