As an Administrative Assistant you will provide administrative support performing the day-to-day administrative functions including planning, organizing and scheduling. Furthermore you will assist the department through basic site support, performing tasks related to facility services and building access.

Essential Functions:

Performs basic facility support tasks related to one or multiple functions, such as building security issues and access system maintenance, and conference room set up.

Greet and welcome guests as soon as they arrive at the office

Direct visitors to the appropriate person and office

Answer, screen and forward incoming phone calls

Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures)

Provide basic and accurate information in-person and via phone/email

Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges)

Order front office supplies and keep inventory of stock

Update calendars and schedule meetings

Keep updated records of office expenses and costs

Perform other clerical receptionist duties such as filing, photocopying, transcribing and faxing

Cooperates and coordinates with administrative assistants in other departments to handle temporary work overloads and fill in for temporary absences.

Keys to Success

Education:

High school/secondary school graduate or professional certification

Experience:

Previous clerical or administrative experience (comparable to 0-2 years)

In some cases, an equivalency, consisting of a combination of appropriate education, training and/or directly related experience, will be considered sufficient for an individual to meet the requirements of the role.

Knowledge, Skills, Abilities

Proven work experience as an Administrative Assistant, Receptionist, Front Office Representative or similar role

Knowledge of administrative procedures and organization systems.

- Demonstrated ability to implement effective systems for information retention and multitasking.

Good Microsoft Office skills.

Good communication, organizational and interpersonal skills.

Ability to identify and set priorities and effectively perform a variety of task simultaneously.

Ability to deal professionally with highly confidential information and matters.

Good attention to detail and accuracy.

Positive attitude and ability to work effectively with others at all levels of the organization.
