JOB SUMMARY
The Student-Athlete Success Program invites applicants for the Administrative Program Support 2 position. Reporting to the Director of the Student-Athlete Success Program, this position is a key member of the Student-Athlete Success Program. The person in this position assists senior leadership in managing the overall business and administrative functions to support our staff and students, including the management of human resources, data tracking and analysis, and overall organizational functions.
A successful candidate will provide exceptional assistance to the Student-Athlete Success Program with outstanding organizational, communication, and problem-solving skills. This is a staff position requiring an understanding of discretion and professionalism. The person in this position will work in a collaborative, dynamic team environment and manage positive relationships with and across campus partners.
DUTIES AND RESPONSIBILITIES
+ Provide administrative support to the Director of Student-Athlete Success Program.
+ Perform administrative functions for the Student-Athlete Success Program.
+ Process all payroll for the department including professional, special payroll, and student labor (80+ tutors, mentors, and monitors) payroll. Troubleshoot tutorial payroll problems. Monitor tutorial budget and create spreadsheets to track tutor budget and send reports to the Director of SASP and Learning Services.
+ Assists with the monitoring of the department's operational budget.
+ Initiates and oversees departmental searches following proper procedures and staying apprised of any new policies put forth by Human Resources, Office of Diversity and Equity, and the Provost's Office.
+ Track and oversee unit's laptop loaner program.
+ Schedule all testing appointments between testers and students, keeping appropriate staff apprised of scheduling.
+ Collect data about various services and produce reports to provide analysis in clear and concise formats.
+ Oversee the entire book process and work in conjunction with students, the Office of Athletic Compliance, Barnes and Noble, Amazon, and other retailers.
+ Oversees and completes all department's purchases through HuskyBuy and Amazon Business.
+ Maintain all department's computers, printers, and copiers, including the computer lab and printers for the students.
+ Reserve rooms for staff meetings and other events.
+ Arrange for the department's upkeep through building supervisors.
+ Maintains all confidential office files, personnel, tutors, mentors, and monitors.
+ Design and edit departmental materials.
+ Performs related duties.
MINIMUM QUALIFICATIONS
+ Bachelor's degree and 2 years of related experience OR Master's degree and up to one year of related experience.
+ Experience working in an administrative capacity.
+ Ability to work independently.
+ Excellent organizational and problem-solving skills: exceptional attention to detail.
+ Excellent oral and written communication skills.
+ Experience in calendar management both on the individual and group level.
+ Competence in using Microsoft Excel and PowerPoint.
+ Ability to respect diversity and work collaboratively with individuals of diverse cultural, social, and educational backgrounds.
+ Ability to design and edit departmental materials.
+ Ability to maintain the confidentiality of information and professional boundaries.
PREFERRED QUALIFICATIONS
+ Master’s degree in business administration, public administration, human resource management, or a related field.
+ Experience working in a higher education setting.
+ Experience in data analysis and management.
+ Familiarity with applicant tracking systems, personnel databases, or customer relationship management software such as PageUp, Microsoft Access, Kuali Financial Data Mart, or similar programs.
