Department Summary:
MITRE’s Cyber Operations and Effects division is seeking an experienced Administrative Assistant who will provide general administrative support to two departments. This position is an excellent opportunity for an administrative professional to learn the Cyber Operations and Effects FFRDC business, work closely with MITRE managers, Directors, and Officers, and build strong working relationships with the administrative team. Administrative responsibilities and support time will generally be divided between the two departments, and this position will be the division’s administrative staff in the McLean office location.
The Cyber Operations and Effects Center (L510) provides world-class expertise and innovation to support our sponsors’ operational cybersecurity missions. Our agile cyber professionals combine hands-on experience and best practices to develop solutions for both short- and long-term outcomes. We bring expertise in the rapidly-evolving cyber landscape to help our sponsors counter advanced adversaries.
Roles & Responsibilities:
The Administrative Assistant provides support to the Center exercising confidentiality, tact, and diplomacy. High-level of proficiency with business software applications (e.g., Office 365) to prepare correspondence, reports, presentations, email communications, and scheduling. Receives, screens, and directs incoming calls, visitors, mail, and email. Maintains files, records, and calendars; arranges business travel, coordinates meeting arrangements, and tracks purchases and expenses. Participates in the development and implementation of administrative standards, policies, and practices for the Center.
Works closely with and supports a fast-paced teamProvides administrative support to senior management and limited support to department technical staffSchedules and provides logistical support to division eventsMaintains calendars for department/division events and milestones (e.g., service awards)Maintains the division SharePoint siteMaintains division recordsCollaborates with other administrative staff on division events and initiativesProvides backfill to division administrative assistants during times of absence and peak loadsProvides support to department staff in the development of project deliverablesProvides support to department staff in navigating MITRE corporate processes (e.g., FMLA, travel)Copies and prints documents in support of department and division staffBooks travel arrangementsFiles reimbursementsProvides general support to visitorsAssist in coordinating travel arrangements of the employees and prepare related expense reports using MITRE’s online travel and expense reporting system.Serve as Timecard Coordinator for our staff which includes bi-weekly submissions and monitoring for daily timecard compliance.Order division office supplies and expenses that the division needs. Hold MITRE Corporate Purchasing Card and reconcile charges on a monthly basis.Assist in making sure staff is compliant and have completed yearly training – TRS, Security, PECE, Infosec
Basic Qualifications:
Typically requires a minimum of 2 - 4 years of related experience with a High School Diploma or equivalent in education, or 2 years’ experience and an Associates’ degree, or equivalentSuperb attention to detail and excellent written, communication, and interpersonal skills with demonstrated accuracy and follow through on a broad range of administrative tasks.Demonstrated ability to effectively prioritize work under tight deadlines and demonstrate analytical and problem-solving skills.Demonstrated ability to build strong external and internal networks and highly effective relationships with business leaders, sponsors, and colleagues.Demonstrated ability to proactively anticipate the short- and long-term support needs of the Department Managers and collaborate effectively with their colleagues at every level of the organization.Strong self-organization and time management skills, with considerable emphasis on self-initiation and independent decision making. Ability to effectively manage multiple tasks simultaneously with minimum supervision.Proficiency and advanced knowledge of MS Office Programs including OneNote, Excel, Word, SharePoint, PowerPoint, and Teams for organization, collaboration, and communication. Ability to produce executive level recommendations and presentations. Salesforce experience is a plus.Competence in the latest mobile, desktop, and willingness to learn new technologies and processes quickly.Must demonstrate a high level of poise, tact, professionalism, discretion, and diplomacy in dealing with highly sensitive information.This position requires a minimum of 4 days a week on-site.U.S. citizen with the ability to acquire a Secret clearance within a year of starting.This requisition requires the candidate to have a minimum of the following clearance(s):
