Description
We’re seeking a highly organized and detail-oriented Administrative Assistant to join our client’s team in Minneapolis, MN. This position requires someone who can manage day-to-day administrative tasks, support marketing and technology efforts, and facilitate smooth office operations. Responsibilities:
• Serve as the first point of contact for guests, phone calls, and delivery personnel while maintaining a professional demeanor and ensuring a positive company image.
• Manage and maintain an organized and clean office environment.
• Execute general administrative tasks including mailing, scheduling, supply management, and vendor interface.
• Assist with the creation of written documents and word processing as requested for projects and communications.
• Support the marketing team with file management, data entry, and regular upkeep.
• Handle the setup and use of conference room technology for guests and internal users.
• Manage the care and maintenance of equipment available for employee use such as iPads, cameras, ensuring they are in working order.
• Assist with scheduling of meetings as directed by leadership team.
• Coordinate and plan office events including interfacing with venues, catering, and planning.
• Assist with onboarding and orientation of new employees, ensuring a smooth transition into the company.
Requirements
• Must have a minimum of 2 years of experience as an Administrative Assistant or in a similar role.
• Proficiency in data entry, including the ability to input, retrieve, and manage information efficiently.
• Experience with scheduling appointments, meetings, and events, ensuring no conflicts and effective use of time.
• Familiarity with receptionist duties, such as handling incoming calls and greeting visitors.
• Proven ability to provide administrative assistance, including managing correspondence, maintaining records, and handling office tasks.
• Skills in event coordination, including planning, organizing, and executing company events.
• Proficiency in MS Office 365 and MS Office, demonstrating ability to create documents, spreadsheets, and presentations.
• Exceptional customer support skills, including the ability to respond to customer inquiries professionally and efficiently.
• Ability to provide technical support to staff, including troubleshooting common technology issues.
• Experience in coordinating and participating in staff meetings.
• Skills in meeting coordination and preparation, including scheduling meetings, preparing agendas, and setting up necessary technology.
