Description We are offering a long-term contract employment opportunity for an Administrative Assistant in Valley Center, California. As an integral part of our team, you will facilitate daily administrative tasks, manage communication between our executives and clients, ensure smooth running of the office, and contribute to better performance and productivity.
Responsibilities:
• Manage reception desk duties, acting as the first point of contact for all visitors.
• Support the board by maintaining confidentiality in all dealings.
• Coordinate and schedule meetings and appointments, ensuring all necessary arrangements are made.
• Handle all incoming correspondence, including calls, messages, and emails, and distribute them as necessary.
• Maintain both electronic and hard copy filing systems to ensure efficient document and record management.
• Perform data entry tasks and scan documents as needed.
• Assist in resolving administrative issues as they arise.
• Conduct research tasks as requested by the management.
• Monitor office supplies and identify advantageous deals or suppliers.
• Carry out company errands as necessary.
• Display professionalism and exercise discretion when handling sensitive internal and external matters.
• Utilize strong organizational skills to multitask and meet deadlines.
• Use strong verbal and written communication skills to effectively relay information.
Skills required include: Answering Inbound Calls, Customer Service, Data Entry, Email Correspondence, Inbound Outbound Calls, Microsoft Excel, Microsoft Outlook, Microsoft PowerPoint, Microsoft Word, Schedule Appointments. Requirements
• 2+ years of Administrative Assistant experience in a professional setting
• Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook
• Experience in answering inbound calls and managing both inbound and outbound calls
• Strong customer service skills and background
• Ability to perform data entry tasks with high level of accuracy
• Excellent written communication skills for email correspondence
• Experience in scheduling appointments and managing calendars
• Ability to multitask and prioritize work in a fast-paced environment
• Strong organizational skills and attention to detail
• Ability to work independently as well as part of a team
• Strong problem-solving skills and the ability to think on your feet
• Ability to maintain confidentiality and handle sensitive information with discretion
• High level of professionalism and strong work ethic
• Willingness to learn and adapt to new technologies and processes.
