Administrative Assistant
Description We are currently recruiting for a strong Administrative Assistant in the Hillsborough NH area. The position is a long-term contract with the potential for permanent placement. Key Responsibilities: + Serve as the main point of contact for internal and external inquiries. + Maintain and update records such as work orders, maintenance schedules, vendor contracts, and employee information. + Coordinate and schedule facility maintenance and inspections, liaising with contractors, vendors, and suppliers for service calls. + Track and process purchase orders, invoices, and expense reports related to operations. + Support the planning and execution of facility projects, renovations, and events. + Prepare and present documentation and reports for meetings with management and leadership teams. + Manage office supplies and coordinate inventory orders as needed. + Assist with onboarding new facilities team members, including paperwork processing and training coordination. + Collect and interpret data related to facility operations, including maintenance costs, vendor performance, and resource allocation. + Collaborate with the facilities management team to implement data-driven strategies and optimize workflows. + Monitor the effects of operational changes and continuously improve processes based on findings. Requirements • Proficiency in handling office functions and operations • Demonstrated ability to manage documentation and record-keeping • Experience in training and onboarding new staff • Proficient in planning, scheduling and organizing meetings and presentations • Understanding of policy implementation and ensuring compliance with the same • Ability to handle invoices and manage vendor relationships • Knowledge of facilities management and safety guidelines • Experience in implementing productivity optimization strategies • Proficient in data analysis, KPI reporting and creating dashboards • Strong leadership skills and ability to manage a team • Familiarity with streamlining processes and systems for efficiency • Ability to prepare detailed reports and present them to stakeholders • Experience in working with suppliers and managing supply chain operations.
