Description
We are offering a long-term contract employment opportunity for an Administrative Assistant in Indianapolis, Indiana. As an Administrative Assistant, you will be providing comprehensive support for the Clerk’s Office. This role involves a variety of administrative tasks including document management, correspondence, and customer service. This is an on-site part-time position. 2 hours per day, 10 hours in total per week.
Responsibilities:
• Manage mail operations, ensuring timely distribution and organization of incoming and outgoing mail.
• Scan and input documents into the case management system, maintaining accuracy and efficiency.
• Open and maintain paper case files, implementing an organized filing system for easy access and retrieval.
• Send out correspondence to relevant parties as required, upholding professional communication standards.
• Assist with the review of weekly reports to determine compliance with Court Orders.
• Request transcripts for civil cases that are ready to be fully briefed.
• Maintain and organize file folders, ensuring a neat and efficient workspace.
• Scan expungements to Share Point, ensuring all necessary documents are digitally stored and accessible.
• Maintain conventional exhibit volume cabinets, ensuring all exhibits are properly stored and cataloged.
• Print and maintain miscellaneous monthly reports, providing regular updates on office operations.
• Greet walk-in customers as needed, providing excellent customer service and assistance.
• Perform other duties as assigned by Clerk or Office Administrators, serving as a flexible team member ready to step in where needed
Requirements • Proficiency in Microsoft Office Suite including Microsoft Excel, Microsoft Word, Microsoft Outlook, and Microsoft PowerPoint
• Capability to handle inbound and outbound calls professionally
• Strong customer service skills and ability to interact with clients effectively
• Excellent data entry skills with a high level of accuracy and attention to detail
• Ability to manage email correspondence efficiently and effectively
• Proven experience in scheduling appointments and managing calendars
• Excellent verbal and written communication skills
• Strong organizational skills with the ability to multitask and prioritize tasks
• Ability to work independently as well as part of a team
• High level of discretion and judgment in handling confidential information.
