Description
We are in search of a detail-oriented Administrative Assistant to join our team in the Manufacturing industry, located in Pompano Beach, Florida. This role offers a contract to permanent employment opportunity. As an Administrative Assistant, you will be responsible for managing high volume scheduling, preparing job orders, and handling customer communication.
Responsibilities:
• Assist in preparing and opening job orders in a timely manner.
• Manage the scheduling inbox, ensuring all tasks are organized and addressed promptly.
• Coordinate with dispatch and technicians for work assignments and schedules.
• Handle high volume inbound and outbound calls, providing excellent customer service to customers and team members.
• Perform data entry tasks and maintain accurate customer records.
• Utilize Microsoft Excel, Outlook, and Word for various administrative tasks.
• Schedule appointments efficiently, ensuring no conflicts in scheduling.
• Handle email correspondence professionally and promptly.
• Take part in the dispatching process, ensuring smooth operations.
• Reach out and call customers for various purposes, maintaining detail oriented interaction at all times.
Requirements • Proficiency in Microsoft Word, Excel, and Outlook is necessary for this role.
• Must be able to handle inbound and outbound calls effectively.
• Excellent customer service skills are crucial.
• The ability to perform data entry tasks with accuracy and efficiency.
• Must be able to manage email correspondence professionally and promptly.
• Scheduling and managing appointments will be a regular task.
• Experience in dispatching tasks or teams is a requirement.
• The ability to multitask and prioritize effectively is important.
• Strong verbal and written communication skills are essential.
• A keen attention to detail and organizational skills are required.
• Must be able to handle confidential information with discretion.
• Previous experience in an administrative role within the manufacturing industry is desirable.
• Problem-solving skills and the ability to work independently are important.
• A high school diploma or equivalent is required; a college degree is preferred.
• Must be able to work in a fast-paced, deadline-driven environment.
• Familiarity with industry-specific software and systems is a plus.
• Must be reliable, with a strong work ethic and a positive attitude.
