Administrative Assistant
Description We are offering a contract to hire employment opportunity in MT LEBANON, Pennsylvania, for an Administrative Assistant in the Energy/Natural Resources industry. This role involves managing customer orders and maintaining meticulous customer credit records. You will be interacting with various teams and customers while ensuring efficient data entry and providing top-notch customer service. Responsibilities: • Manage customer orders received through various channels such as phone, email, and fax. • Review customer orders to ensure accuracy of details such as specifications, addresses, and payment terms. • Update data files to reflect changes in prices, product formulas, etc. • Accurately enter orders into a customized legacy software (training will be provided). • Collaborate with plant personnel to track shipments and resolve order-related issues. • Liaise with the sales team to address order-related concerns. • Maintain spreadsheets to track inside sales activities. • Compose, format, and type business communications including customer bids, quotations, and vendor purchase orders. • Make phone contacts to support the external sales team as needed. • Keep an organized record of files related to the above responsibilities. • Perform other duties as directed. Requirements • Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook • Experience in answering inbound and outbound calls • Excellent customer service skills • Ability to schedule appointments efficiently • Proficiency in data entry tasks • Experience with email correspondence • Ability to work in the energy/natural resources industry • Ability to multitask and manage time effectively • Strong verbal and written communication skills • Attention to detail and problem-solving skills • High School degree; additional qualification as an Administrative assistant or Secretary will be a plus Robert Half is the world’s first and largest specialized talent solutions firm that connects highly qualified job seekers to opportunities at great companies.
