Administrative Assistant
Description We are seeking a detailed-oriented and highly organized Administrative Assistant to support our Financial Planner. The candidate must have a customer focus approach, superb communication skills, and the ability to manage various tasks simultaneously. The primary role involves managing administrative tasks for the Financial Planner, including appointment scheduling, file management, data entry, and client service. Responsibilities: + Manage financial planner's schedules and set up meetings, ensuring there are no scheduling conflicts and meetings are effectively prioritized. + Responsible for handling and redirecting all incoming calls and inquiries. + Prepare reports and presentations by compiling and analyzing necessary financial data. + Maintain effective filing systems for smooth data retrieval, ensuring records are up to date. + Provide superior client service by responding to client inquiries, processing document requests, and resolving issues promptly. + Prepare and edit correspondence, communications, presentations, and other documents on behalf of the Financial Planner. + Attend meetings and take detailed minutes. + Act as a liaison between the Financial Planner and other parties, including clients and other staff members. + Organize and assist in planning networking events and client appreciation activities. + Perform general administrative duties, such as answering and directing phone calls, photocopying, faxing, and mailing. Requirements + A minimum of 2 years of prior administrative experience, preferably in a financial services environment. + Excellent written and verbal communication skills. + Attention to detail and high-level accuracy. + Demonstrate proficiency in using MS Office Suites (Word, Excel, PowerPoint) and other office management software. + Strong organizational skills and the ability to prioritize tasks. + Outstanding customer service skills, with a professional demeanor. + Ability to maintain a high level of confidentiality and handle sensitive information. + Basic understanding of financial planning principles will be highly advantageous. + An associate or Bachelor's degree in business, finance, or a related field is beneficial.
