Administrative Assistant
Description Our client in East Liberty is looking for an Administrative Assistant for a contract opportunity for 2 months. There could be an opportunity for contract to hire depending on the candidate. Administrative Assistant will be responsible for support tasks for the main administrative office, to include inputting data, managing calendars, welcoming guests, checking and distributing mails and emails, ordering supplies and other administrative support help. The ideal candidate must be friendly, organized, detail-minded, show initiative and be open to a diverse organizational culture. Hours are 9am - 5pm. Pay: $18-22. + Office and administrative support + Maintain a clean and organized office + Monitor office supplies, order replacement supplies, as needed and within budget + Equipment and supplies procurement, inventory tracking and reporting + Review mail, forward to appropriate staff and take action as appropriate + Monitor info@ email, triage and forward to appropriate staff for response + Prepare mailings as needed + Manage online accounts such as Zoom + Update website with job openings, office closures, etc. + Manage general email and voicemail box, general telephone inquiries - respond, file and forward to appropriate staff for action + Support in scheduling and coordinating logistics for Board meetings, committee meetings, team retreats and on-site meetings, including but not limited to arranging for conference rooms and audio/visual requirements as necessary. + Complete additional administrative tasks as needed Requirements • Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook • Experience dealing with inbound and outbound calls in a professional manner • Excellent customer service skills, with the ability to handle queries and complaints effectively • Strong data entry skills, with attention to detail and accuracy • Ability to manage email correspondence professionally and in a timely manner • Experience in scheduling appointments and managing calendars • Strong communication skills, both written and verbal • Ability to work independently and as part of a team • Strong organizational skills with the ability to prioritize tasks effectively • Good problem-solving skills, with the ability to make decisions under pressure.
