Description
We are offering a contract to hire employment opportunity for an Administrative Assistant in the legal industry, based in Tulsa, Oklahoma. In this role, you will be providing comprehensive administrative support to a busy law firm, handling confidential material and interacting with clients and governmental agencies. Your responsibilities will include ensuring the smooth and efficient operation of the office and providing support to remote case managers and attorneys.
THIS POSITION IS 100% ON SITE
Responsibilities:
• Manage and direct front desk duties, ensuring a friendly and professional first point of contact for clients and visitors.
• Handle incoming phone calls, directing them appropriately and providing information as necessary.
• Maintain and update client records within Aderant Total Office (ATO), ensuring accurate and timely data entry.
• Process, scan, name, and import incoming mail into ATO, ensuring all correspondence is addressed promptly.
• Prepare and mail out daily correspondences from attorneys and case managers using ATO.
• Respond to daily mail by mailing out appropriate letters.
• Process daily attorney representative forms for new clients.
• Handle daily and monthly expense invoices and monthly collection letters.
• Oversee the ordering and maintaining of office and kitchen supplies, ensuring the office is well-stocked and organized.
• Take invoice payments over the phone from clients, ensuring accurate recording and processing.
Requirements • Must have experience in answering inbound calls and managing inbound and outbound calls.
• Must have effective customer service skills.
• Proficiency in data entry is required.
• Must be able to efficiently handle email correspondence.
• Proficiency in Microsoft Excel, Microsoft Outlook, Microsoft PowerPoint, and Microsoft Word is a must.
• Must have the ability to schedule appointments effectively.
• Previous experience in a legal administrative assistant role is preferred.
• Excellent written and verbal communication skills are required.
• Must have strong organizational skills and attention to detail.
• Ability to multitask and prioritize tasks effectively is required.
• Must be a team player, with the ability to work independently when needed.
• Must maintain confidentiality and handle sensitive information professionally.
• A bachelor's degree or equivalent work experience in a related field is preferred.
• Must have a strong work ethic and a high level of professionalism.
• Must be capable of managing time effectively and meeting deadlines.
