Administrative Assistant
Description We are offering a contract to hire employment opportunity for an Administrative Assistant in the Wholesale Distribution industry situated in Orangevale, California. The role primarily focuses on logistics administration, with an emphasis on import/export and freight documentation. The successful candidate will play a pivotal role in coordinating and tracking shipments and deliveries to meet customer requirements. Responsibilities: • Coordinate and track corporate shipments and deliveries to ensure customer requirements are met • Develop logistic plans, procedures, and contingency plans to manage sudden changes in operations or delays • Handle freight rate negotiation and coordination with suppliers • Ensure that all duties, taxes, and fees associated with the shipping and delivery process are paid in full and on time • Collaborate with other departments to integrate logistics operations with business systems or processes • Maintain an accurate freight and logistic expenses report • Create and manage all import and export documentation processes, including sales, shipping, and purchasing documentation • Monitor the progress of shipments, and coordinate with freight forwarders, custom agents, and carriers to ensure prompt delivery • Prepare and maintain accurate reports regarding products stock levels • Answer inbound calls, provide customer service, handle data entry, email correspondence, and schedule appointments as required. Proficiency in Microsoft Excel, Microsoft Outlook, Microsoft PowerPoint, Microsoft Word is required. Requirements • Proven experience in answering inbound calls and handling inbound outbound calls • Demonstrable skills in providing high-quality customer service • Proficiency in data entry tasks • Experience in managing email correspondence professionally • Expertise in scheduling appointments efficiently • Proficiency in Microsoft Excel, Microsoft Word, Microsoft PowerPoint, and Microsoft Outlook • Ability to handle administrative tasks in a wholesale distribution environment • Excellent communication and interpersonal skills • Strong organizational skills and attention to detail • Ability to multitask and prioritize tasks effectively • Ability to work independently and as part of a team.
