What Your Day Will Look Like:
As a administrative assistant, you’ll greet and assist in-person visitors, manage incoming phone calls on a multi-line phone system, and maintain a productive and welcoming office environment. You’ll input data and support the regional file archiving process, and ensure that new hire work stations are equipped with supplies. The administrative assistant reports to the office lead.
This position is part-time with the expectation of 20 hours per week.
What You'll Do:
Oversee general administrative needs for the Boise office including but not limited to shipping, office and breakroom supply orders, ordering/canceling office access cards, and keys, office maintenance and/or repairs. Coordinate, reconcile, and code local administrative company credit card purchases. Work with discipline leads and corporate teams to coordinate and set up office events, meetings, happy hours etc. Back-up answering calls on multi-line phone. Process outgoing mail and shipments and route incoming mail between offices. Occasional travel to off-site locations to deliver documents or supplies. Assist with travel bookings, including airfare, hotel, and ground transportation as needed. Support regional and corporate fleet managers by coordinating fleet vehicle deliveries, fleet parking needs, scheduling regular and emergency repairs & maintenance. Must be able to drive up to a full size pick-up trucks in the local fleet various maintenance appointments.Support local staff by making pooled vehicle reservations and submit mileage logs to designated administrative team member for pooled vehicles monthly.What You'll Need:
High School Diploma or Equivalent.Minimum five years of administrative support experience.Proficiency in MS Office Suite: Word, Excel, PowerPoint, Outlook.Must have a valid driver’s license with a good driving record.This office job primarily operates in a professional office environment and routinely requires the use of standard office equipment such as computers, phones, and copy machines. May occasionally be exposed to noise. While performing the duties of this job, physical demands of the employee may include constant sitting, talking, hearing, repetitive motions, and occasional standing, moving, reaching, handling, grasping, feeling, and coordination.
