Job Summary 

Shambaugh & Son, LP is looking for an Administrative Assistant. This position will be responsible for supporting new apprentices with paperwork requirements to enroll in the trade. This role will also build tools and a process to stay up to date with all Union needs.

Essential Duties and Responsibilities 

Track applications and guide new apprentice applicants through the onboarding process

Coordinate biannual evaluations of all apprentices

Communicate with superintendents when apprentices are behind on requirements

Review quarterly reports from Union office for advancements and suspensions

Track out of town employees and online class registration

Generate Action Slips for all hires and terms

Attend annual meetings with Union representatives

Communicate with payroll and update Job Track with advancements

Respond to online applicants to see if they would be a fit for our team

Coordinate with leaders for recruiting events

Communicate with Union office to stay up to date with processes and paperwork

Cross train on payroll and HR hiring processes

Qualifications 

Proficiency in computer usage above basic Microsoft Office and Windows skills. Must be tech savvy Experience with AS400/Trueline accounting system a plus Must be able to retain training in an organized fashion to be successful Good understanding of Excel spreadsheets and Creating of Tables Dispatching or scheduling experience with Technicians, Project Managers, etc. a plus Proven experience in multi-tasking and doing several difficult tasks Must be organized, self-motivated, and a strong work ethic Professionalism in email and over the phone Work hours minimum of 7:00am – 4:00pm
