Job Summary:
We are looking for a dynamic, administrative assistant to join our team supporting Real Estate Sales Professionals at our Naperville office at 836 W. 75th Street, Naperville, IL 60565.
This is a full-time, on-site position with expected hours M-F 8:30am-5pm (not a remote position).
Essential Duties & Responsibilities:
+ Maintain paperless files with dot loop for all transactions through close.
+ Obtain missing information as required and follow through with all parties
+ Compile packets, recruiting, listing, buyer and rental, and maintain online file flow and marketing materials
+ Answer phones.
+ Open and distribute courier items.
+ Distribute and prepare incoming and outgoing mail.
+ General office support functions including greeting customers and maintaining office appearance, opening and closing.
+ Pull reports as directed by sales manager, staff and agents
+ Process and monitor marketing agreements from inception to close.
+ Process buyer rep agreements.
+ Data entry.
+ IT/Tech support
+ Responsible for office’s social media presence
Requirements:
+ Real estate knowledge is a plus
+ Strong written and verbal communication skills
+ Ability to multi-task & prioritize
+ Strong computer skills - including Google platform and Microsoft Office
+ Social media savvy (FB, Twitter, Instagram, Pinterest, etc.)
+ Responsible for Office’s Social media presence
+ Assist Agents as needed with social media questions
+ Attention to detail
+ Ability to work independently and with a team
+ Professional appearance
+ Proactive
Skills & Experience:
+ High school diploma or equivalent required.
+ Previous real estate experience preferred
+ Administrative assistant experience preferred.
