Job Description
The Administrative Assistant will sit at the front desk of the office, greeting visitors and handling deliveries, with occasional auditors visiting a few times a year. The primary focus of this role is to support the sales and customer service teams while managing visitor greetings and phone inquiries.
ResponsibilitiesFacilitate customer requests within reasonable time frames, including order status and tracking, directing customers to appropriate departments, and facilitating internal conversations to meet customer needs and expectations.Answer and direct email and phone inquiries.Greet visitors and guests warmly, ensuring they are properly signed into the building and directed to the appropriate department or employee.Accurately perform data entry and document filing.Learn various daily tasks to serve as a backup when necessary.Support meetings for management, including preparing conference rooms, coordinating food orders, and setting up support technologies.Exercise considerable judgment and discretion.Distribute daily internal and external mail; send and distribute faxes.Compose, type, and distribute professional correspondence and memoranda, emails, and faxes.Maintain the filing system.Meet and greet visitors.Order and maintain supplies.Perform general clerical duties including filing, photocopying, faxing, and mailing.Assist with special projects as assigned.Meet annual KPIs.Perform other related duties as assigned by management.Essential SkillsAdministrative support experienceData entry skills1+ years of administrative support experienceBasic understanding of MS Excel and ability to work in a spreadsheetStrong communication skillsAdditional Skills & QualificationsMinimum High School degree1-2 years’ experience as an Administrative Assistant is a plusKnowledge of Microsoft Office, Office 365, printers, and fax machinesExcellent time management skills and the ability to prioritize workAttention to detail and problem-solving skillsExcellent written and verbal communication skillsWork Environment
The position is onsite Monday-Friday from 8am-5pm. The office is located in a facility that manufactures seasoning blends, resulting in various food scents, primarily onion powder. The Administrative Assistant will be stationed at the front desk but will work in close proximity to the sales and marketing team in the same cubicle area, ensuring they are not completely isolated.
