Administrative Assistant | 5-days Onsite in Gainesville, VA | $19 - $24/hr | 3-Month Contract

Job Description

As an Administrative Assistant, your primary responsibility will be to review data accuracy and ensure timely payment to vendors and generate invoices for customers. You will need to communicate clearly and provide comprehensive reports to customers and vendors.

ResponsibilitiesProcess Monthly Recurring & Non-Recurring Billing Invoices: Analyze and update billing information in MASterMind including new sales, change/replacement assets, and disconnected/cancelled assets. Also, handle non-recurring charges.Process Vendor Invoices: Handle invoices monthly, ensuring accuracy with invoice entries. Work on weekly integrations between Winbill & GP. Track and handle disputes to receive credit.Manage Email Billing & Payables Inbox: Respond timely to internal customer and vendor queries and process requests. Review regular email communications and past due notices, and send rate change notification letters as needed.Coordinate Account Disconnects for Non-Payments with Carriers: Coordinate with vendors for payment errors and research resolutions for service updates.Distribute Accounts Receivable & Payables: Email non-recurring and monthly recurring invoices to customers and maintain track of exceptions. Process physical mail, scan, and add to the AP folder.Essential SkillsHigh School Diploma or equivalent qualification.Minimum of 1 year of experience in payables and receivables in any industry.Basic Excel knowledge and experience.Effective communication and interpersonal skills for interacting with management, peers, customers, carriers, and vendors.Strong organizational skills to manage multiple projects and tasks, meeting all deadlines.Detail-oriented with the ability to handle audits and projects productively and efficiently.Good problem-solving skills to research and resolve disputes and analyze data between different databases.Additional Skills & QualificationsDiploma holder or equivalent preferred.Experience in billing, accounting, or finance preferred.Knowledge of the telecommunications industry preferred, including familiarity with telecom technician dispatches, installations, and trouble tickets.Work Environment

The role will involve regular use of Microsoft Office products, particularly Excel. You will be required to manage email communications and physical mail. The position demands strong organizational skills to handle multiple tasks and meet deadlines effectively. The ideal candidate will be comfortable working in a dynamic environment that requires timely and accurate handling of invoices and data entry tasks.

Pay and Benefits

The pay range for this position is $19.00 - $24.00
