Administrative Assistant
New year opportunity for an administrative rockstar! This is a permanent opportunity in the Edmonton area. If you have previous experience with document control, project management, and engineer consultancy experience, please apply!?

Responsibilities:Provide comprehensive administrative support, including managing front reception tasks such as greeting visitors, answering calls, and coordinating meeting arrangements.Handle incoming and outgoing mail, courier services, and inventory management for office supplies and materials.Maintain accurate electronic and physical filing systems, ensuring proper document organization and accessibility.Support project execution by assisting with document preparation, printing, and assembly of reports, proposals, and drawings.Coordinate scheduling for meetings, prepare agendas, take meeting notes, and ensure action items are tracked and completed.Assist in the management of construction-related documentation, such as RFIs and shop drawings, ensuring timelines and tracking are adhered to.Participate in the maintenance of the organization's Health & Safety Program by monitoring compliance, assisting with safety training, and liaising with external safety partners.Plan and execute internal events, including monthly meetings and special events, ensuring logistical and operational details are addressed.Provide logistical support for staff, including rental vehicle coordination, catering arrangements, and boardroom bookings.Perform general clerical tasks such as data entry, document review, and editing for readability and formatting.Qualifications:Demonstrated ability to manage multiple tasks and prioritize effectively in a fast-paced environment.Proficiency in Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint; familiarity with Visio and PDF tools is an asset.Strong attention to detail and commitment to producing high-quality, accurate work.Exceptional organizational, time management, and interpersonal skills.Clear and professional communication abilities, both written and verbal.Proven reliability and punctuality in a professional setting.Valid Class 5 driver’s license and the ability to travel locally for errands and courier tasks as required.Experience in document control and administrative roles; familiarity with the consulting engineering industry or safety program compliance is advantageous.Ability to work independently and collaboratively, with a proactive and self-motivated approach to responsibilities.
