Summary:

The Administrative Assistant supports and assists with general office activities and projects with administrative tasks. Provides customer service support. Under moderate supervision, work may involve contact with homeowners and board members.

\n

Duties include but are not limited to:

\n\nOrganizes and prepares correspondence relating to association business.\nReceives and responds to incoming calls from homeowners, Board members, and vendors. Follow through on various requests.\nReviews invoices for completeness/accuracy of charges and prepare payable vouchers for manager’s approval.\nProcesses and distributes incoming and outgoing mail for the office and Association.\nPrepares and assists community manager with monthly board packages and in-house mailings.\nUpdates homeowner and association information in Management drives, sites, and shared files.\nKeeps workspaces organized and maintained. Alerts Director of Operations of low supplies and assists in supply ordering, stocking, and distribution.\nProcesses print jobs, scanning and faxing as general office support when needed.\nFiles association documents for Community Manager.\nThe preceding functions have been provided as examples of the types of work performed by employees assigned to this job classification. Management reserves the right to add, modify, change or rescind the work of different assignment positions.\n\n\nOther duties as assigned.\n\n\n\n\n\n\n\n\n\n\n Requirements\n\n\n\n\nSkills and education needed:\n\n\nKnowledge of Microsoft Office products (Word, Excel, Outlook, etc.) at a proficient level.\nProfessional communication skills (phone, interpersonal, written, verbal, etc.).\nProfessional customer service skills.\nKnowledge of typical business correspondence (grammar, structure, punctuation, spelling, etc.) at a proficient level.\nInterpretation and completion of verbal and/or written instructions at a proficient level.\nKnowledge of general office equipment (copier, fax, phone systems, etc.).\nConfidentiality and discretion in the performance of all duties and responsibilities.\nTime management and time-critical prioritization skills.\nHigh School Diploma or GED Required\n0 – 3 years of directly related or closely related experience'\n'Work Remotely\nNo\n\n\n\nHide\n\n\n\n\n\n\n
