Job Description

In this role, the Administrative Assistant will provide administrative support.

In this role, you will work with limited supervision, meet day-to-day short-term objectives.  As the Administrative Assistant, you will:

Demonstrate strong independent decision making and autonomy in support of applicable leaders and their organizations (internally/externally)Act with discretion while performing a wide variety of operational and administrative activities that require handling of confidential information and business critical assignments in a professional business manner.Interact with management on behalf of GE Aerospace leadership, on site and in person at all levels across the business unit.Set-up and organize meetings on behalf of the Site Leader and Leadership staff, including producing agendas, conference room scheduling, distributing agendas, arranging lunches/dinners/beverages as necessary.Coordinate arrangements for major meetings, customer visits, conferences, and employee engagement activities.Provide general office administration including ordering office supplies, supporting office equipment maintenance, processing facilities work requests, and assisting with visa processing.Ability to coordinate travel arrangements and process all expense reports for the Plant Leader.Manage staff calendars and make all associated arrangements to ensure the smooth running of schedules for the site Leadership team.Prepare correspondence, invoices, distribution lists and other documents as requested; maintaining files, both electronic and hard copy.Develop and distribute internal Need to Knows, newsletters, speeches for events, and talking points for meetings and All Hands sessions. Collaborate with team members to create and post engaging content. Maintain and update internal communication materials, including the site’s employee Facebook page, TVs, and Let’s Communicate channels. Distribute Let’s Communicate updates on employee events, new employee introductions, business developments, HR and safety policy updates, maintenance updates, and moreCoordinate/compile communications presentations for site All-Hands, and similar events.Work in partnership with the Human Resources and GE Aerospace Communications Leaders on organization charts and accurate maintenance of distribution lists and other forms of communications.Role is located on-site M-F from 8AM – 4PM, with flexibility around site events, holidays, vacation time.

Additional Site Responsibilities:

If external visitors are scheduled, request access badge(s), reserve conference room space, organize lunches/dinners if required and greet/escort visitors to meeting rooms.Engage with candidate new hire processes including interview scheduling, onboarding coordination, office readiness, computer and other asset requests, and other relevant topics critical to the new hire experience.Due level of exposure to potentially sensitive topics, must be able to maintain confidentiality. Maintain discrete and confidential handling and coordination of sensitive and/or legally privileged company information.Must be proficient and have prior work experience creating and updating Excel spreadsheets, Word documents, and PowerPoint presentations.Participate in Employee Resource Group events and support these groups as needed.Compile data for employee Service anniversaries.Handle details for plant events and celebrations (such as Family Day, Apprentice Graduations, Service Dinners, Holiday recognitions, etc.) including scheduling, ordering meals, and arranging for delivery, preparing materials for presentations, assisting with clean up, etc.Develop and maintain good relationships with all employees; supporting employee needs.  Be a business partner with all employees on a day-to-day basis.Handle items related the death of an employee’s family member, including email notification to the shop, sending flowers from GE to the family or service, etc.Assist with special projects as assigned, coordinate meeting and event logistics as assigned. Duties may include setting up meetings and preparing interview materials.Assists with employee recognition and other duties.Documents employee events thru the use of photograpyLead recognition of employee anniversaries and certificates.Coordinate housing needs for international / long term visitors Own the GE Aerospace Branding requirements for the site and maintain adherence to guidelines, signage, communications, etc.

Minimum Qualifications:

High School Diploma / GEDMinimum of 3 years of administrative support experience that includes communications and event planning
