The person serving in the position of Administrative Assistant provides primary support to the CEO/CFO and Board of Directors. The Administrative Assistant provides a wide variety of standard, advanced and confidential/sensitive administrative support services. Multitasking, greeting the public, representing the hospital in a professional manner and exercise initiative and judgment in resolving routine and some complex inquiries, and making decisions within the scope of assigned authority. Excellent organizational and time management skills, work independently or as an effective team member. Skills required include problem solving, adaptability, planning, business acumen, collaboration and open communications. Professional and be able to maintain credibility, trust, and support of senior executives.
Essential Key Job ResponsibilitiesAdministrative Support
Primary administrative support for the President and CFO.Schedules meetings, maintains calendars, responds to inquiries via phone and typed correspondence.Books travel arrangements including air, hotel and car.Schedules conference registrations.Processes expense reports.Opens and routes mail to the appropriate staff as needed.Codes and routes expense invoices.Processes time off requests and weekly timecards in KRONOS.Provides administrative support to the Sr. Leadership team as needed.Provides assistance with advocacy correspondence.Assists with organization-wide communications including memos and announcements.Organizes hospital events related to safety goals, celebrations and recognition.Board of Directors
Provides administrative support to the board of directors.Works with the President to create meeting agendas, assembles and distributes meeting materials, handles meeting logistics.Maintains board of director files including annual conflict of interest statement, Our Values and Ethics at Work statement, board education, etc.Attends meetings to record accurate minutes and ensures all meeting minutes are signed and filed.Organizes holiday social and other events for board members, physicians and department leaders.Provides administrative support to board sub committees.Medical Staff
Works with Chief Nursing Officer to create agenda, assembles and distributes meeting materials for medical staff meetings including Medical Executive Committee, Medicine Department, Surgery Department and ER/OP Department.Attends meetings to record accurate meeting minutes, ensuring that all minutes are signed and filed. Coordinates interview schedules and socials for medical staff candidates.Qualifications
High school Diploma
Excellent written and verbal communication skills
Mastery level of office skills and all office software products
Preferred
5 years at an executive support level
Bachelor’s degree or AAS in business or business management
