Job Description

We are seeking a highly organized and motivated Administrative Assistant to join our team. The successful candidate will play a key role in ensuring the smooth operation of our office, providing administrative support, and delivering excellent customer service.

ResponsibilitiesAnswer the phones and direct calls to the appropriate personnel.Enter invoices into the system using QuickBooks.Order office supplies and maintain inventory.Maintain job folders and create new hire packets/handbooks.Collect timecards and enter data into QuickBooks.Pay certain invoices using a credit card.Maintain vehicle and equipment folders.Utilize Word, Excel, Outlook, QuickBooks, and Bluebeam software.Assist with payroll department by balancing weekly timecards.Carry out administrative duties such as filing, typing, copying, scanning, shredding, laminating, and ordering supplies.Provide excellent customer service by answering, screening, and directing phone calls, greeting visitors, and responding to emails professionally and promptly.Essential Skills5+ years of administrative experience, preferably in a construction or mechanical environment.Proficiency with Microsoft Office Suite.Strong organizational and time management skills.Excellent written and verbal communication abilities.Attention to detail and accuracy in completing tasks.Ability to prioritize tasks and multitask effectively.Experience with QuickBooks is highly desirable.Basic knowledge of accounts payable/receivable.Experience with payroll processing is a plus.Additional Skills & QualificationsStrong customer service skills.Ability to work independently and take initiative.Positive and friendly attitude.Dependability and reliability.Ability to handle a front desk with little or no supervision.Quick learner with the ability to take good notes and double-check work.Work Environment

The position is based in an office environment for a plumbing company. You will be part of a team of 30 employees, with about three working in the office. You will sit in the front area and work independently for a significant portion of the day once fully trained. The work schedule is Monday to Friday from 7:00 AM to 4:00 PM, and the dress code is business casual.

Pay and Benefits

The pay range for this position is $20.00 - $22.00
