Administrative Assistant

Position Summary

As an Administrative Assistant, you will provide administrative support to ensure efficient operation of the office. You will support managers and employees through a variety of tasks related to organization and communication. Ultimately, as an Administrative Assistant you will ensure the efficient and smooth day-to-day office of operations.

 

This role requires onsite work at our Ft. Lauderdale, FL location.

What You'll do as an Administrative Assistant: Provide administrative support for management staff groups such as, Operations, Quality, Shipping & Receiving, Engineering, Supply Chain, Safety etc. Tally receipts, prepares, and submits expense reports for Senior Management Team. Reconcile American Express, travel and other expense reports for the Accounting Department to process accordingly. Handle multiple projects/assignments and delivers results that are timely and accurate.   Organize work using tools such as MS Excel, Word or PowerPoint.   Prepare reports for management staff. May analyze data and highlights anomalies and discrepancies.   Ensure company communication is posted on bulletin boards or employee monitors.   Make travel arrangements for managers and traveling employees.   Make meeting arrangements including setting up rooms/venues, orders supplies, and meals/food for breakfast, breaks, and lunches.   Create, prepare and proofread various articles, PowerPoint presentations, announcements, marketing material, emails and letters for business communication. Coordinate employee engagement activities such as picnics/BBQ’s, lunches, Ice-Cream socials, Thanksgiving or/and Christmas events.   Keeps organization of office, orders and maintains office and other supplies.   May help departments listed above in providing administrative or clerical support enter data, and keyboard documents for forms.   Provide general support to visitors.   Develop and maintain filing system.  Coordinate and maintain calendar and follow up contacts, internal (company) and external (clients, vendors). Screen incoming calls and correspondence and respond as directed.
  The Experience, Skills, and Abilities Needed:

Required:

 

High school diploma or GED Minimum 1 year of work experience

 

Other:

 

Positive Attitude and Demeanor Excellent Customer Service Attention to Detail Proficient Computer Skills (MS Office, Word, Powerpoint, Excel) Reliable and Dependable Strong Analytical Skills Proven ability to manage time without direct supervision.

 Pay range for this opportunity is $43,250.00 - $60,637.50.

 

Minimum pay rates offered will comply with county/city minimums, if higher than range listed.  Pay rates are based on a number of factors, including but not limited to local labor market costs, years of relevant experience, education, professional certifications, foreign language fluency, etc.
