Administrative Assistant

Ecolab is looking for an Administrative Assistant to provide support to the Philadelphia, PA manufacturing facility. This position will be the face of the facility and is key to delivering top-notch service and support to employees, customers, and visitors.

What you will do:

Act as first point of contact for the plant by answering the phone and welcoming in person visitors. Direct visitors to the appropriate person or office.Provide badges to new hires, visitors, and temporary staffReceive incoming packages and mail from shipping department and postal service and distribute as necessary.Produce, maintain, and distribute reports as directed by plant leadership.Coordinate and execute all office functions and employee events under the direction of leadershipMaintain front office, HR, and kitchen supplies. Provide administrative support for HR function, including assisting with employee onboarding, maintaining employee records, and supporting HR initiatives.Schedule meetings as required. Provide meeting support by reserving and setting up conference rooms and ordering meals as required.Assist with coordinating visitor and corporate plant tours as directed.In conjunction with HR Manager, schedule interviews with job applicants and temporary agency candidates.Send email correspondence to staff on behalf of Plant Director or Human Resources as directed.Works with Ecolab’s vendors and processing invoices as needed.Provide support in other areas as assigned.

Minimum Qualifications

High School Diploma or GED Equivalent.2+ years of administrative experience.Proficiency with Microsoft Word, Excel, and Outlook.

Preferred Qualifications

Prior experience working in a manufacturing environment.Strong verbal and written communication skills.Self-starter with the ability to independently initiate and complete tasks with minimal supervision.Proficient in using the internet and office equipment (e.g., printers, scanners).Highly organized and detail oriented.

Annual or Hourly Compensation Range:

$25.00 per hour Many factors are taken into consideration when determining compensation, such as experience, education, training, geography, etc. We comply with all minimum wage and overtime laws.
