Responsibilities + Supervise Early Learning Program Secretary; following all agency policies, and cover for the secretary as needed, ensuring the front desk reception is covered in an efficient and secure manner. + Conduct some aspects of hiring and orientation process for staff using agency Orientation Manual in a coordinated and professional manner. This includes timely set-up of Personnel file(s), ensuring all required documents are processed in a timely manner and necessary pre-approvals are obtained such as pre-screenings for State Central Registry and background checks prior to start date, and providing support services to SCAP Executive Assistant to ED on human resources processes in an accurate, timely and efficient manner. + Maintain SCAP Early Learning Program personnel files securely and accurately, coordinate with SCAP Executive Assistant to ED to monitor and implement an efficient system for the completion of employee evaluations and provide notifications to management of due dates for evaluations and other human resources documents on a timely basis. + Support Director of Early Childhood Education in daily office tasks as directed, timely, accurately and effectively, such as inter-office and postal mail, filing, data entry, and petty cash. Ensure agency swipe in board and systems for staff monitoring are followed, and reported to management as needed. + Maintain agency-approved tracking systems for reports, applications and administrative tasks in an updated, retrievable and accurate manner. Qualifications Requirements + Bachelor’s Degree in a related field and three (3) years related and progressive experience. + Experience working with time sensitive, confidential human resources information and providing support to executive management. + Demonstrated excellent written and verbal communication skills, with good knowledge of appropriate boundaries and exercising confidential protocols. + Demonstrated organizational skills. + Ability to manage multiple priorities and provide high-level professional support. + Must provide on a biennial basis a physical from a licensed health care provider, clearingyou under New York State Day Care regulations. + Background check is required prior to employment as required by NYS Day Careregulations and Federal Head Start Performance Standards. + High level of computer literacy required including the use of technology that creates efficient systems. Experience with Microsoft Office Products, databases and other software required. + Knowledge and understanding of issues related to individuals and families in poverty. Ability to build upon the strengths of those we serve with diverse racial, cultural, social, educational and economic backgrounds, including high risk populations, to provide high-level services and lasting solutions to fit each individual’s and family’s needs.
